Salveo Healthcare is seeking a highly organised and customer-focused Referral & Scheduling Coordinator to join our growing team on a 12-month fixed-term contract (1.0FTE). This pivotal role acts as the central point of coordination between clients, referrers, clinicians and operational teams, ensuring clients can access services efficiently and receive a positive experience from their first interaction with us.

About the Role

As the Referral & Scheduling Coordinator, you will be responsible for coordinating referrals, managing clinician schedules, supporting client onboarding, maintaining accurate records, and assisting with a range of administrative and operational activities that support service delivery across our organisation.

Key Responsibilities

• Manage referral intake, processing and allocation.
• Coordinate appointments, waitlists and clinician schedules.
• Liaise with clients regarding bookings, confirmations and service enquiries.
• Monitor and action shared mailboxes and referral inboxes.
• Support client onboarding, consent processes and service commencement activities.
• Coordinate treatment room bookings and clinician access.
• Maintain accurate client, referral and scheduling record
• Support contractor administration and external service coordination.

About You

• Experience in healthcare administration, referral management, intake/admission processes, rostering, scheduling, medical reception or service coordination.
• Exceptional organisational skills and the ability to manage competing priorities.
• Strong attention to detail and a commitment to data quality.
• Excellent communication and interpersonal skills.
• A customer-centred approach and commitment to delivering outstanding service.
• Confidence working with databases, client management systems and electronic records.
• The ability to work both independently and collaboratively within a multidisciplinary team.
• Sound understanding of privacy, confidentiality and professional conduct requirements.
